Administrative Assistant (DeSalvo Construction)

DeSalvo Construction is searching for a full-time Administrative Assistant/Accounting Clerk. In this role, you will perform administrative and clerical tasks, as well as assisting with accounts payable and receivable.

Responsibilities:

  • Bookkeeping including accounts receivable, accounts payable, and waivers of lien.
  • Processing invoices, issuing payments, and managing payroll.
  • Fielding phone calls, directing calls, and taking messages.
  • Filing and organizing job and bid-related documents.
  • Balancing paid bills at the end of projects.
  • Scanning, recording, and filing various documents such as credit applications, W-9s, and insurance certificates.
  • Greeting and directing visitors to appropriate personnel.
  • Managing internal and external mail distribution.
  • Updating job, employee, vendor, and union information in Foundation.
  • Other administrative tasks as required.

Requirements & Capabilities:

  • Proficiency in Microsoft Office.
  • Typing speed of 55 WPM or greater.
  • Basic math skills.
  • Familiarity with office equipment including fax machine, copy machine, and computer.
  • Excellent communication and organizational skills.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • Strong attention to detail and accuracy.
  • A proactive approach to problem-solving and a willingness to take initiative.
  • Ability to work both independently and as part of a team.

Qualifications (Preferred, but not required):

  • Minimum of 2 years of administrative and/or accounting experience is ideal.
  • Open to new graduates and individuals willing to learn.
  • On-the-job training will be provided to ensure success in the role.
